What is TSheets By QuickBooks?

If you’ve ever lost track of time when you’re working, you need a system like TSheets. This time tracking software helps employees and employers be on the same page. It’s exceptionally helpful for employers with remote employees because it tracks hours worked in multiple ways including GPS tracking and mobile time clocks.

How Does it Work?

TSheets is web-based. You don’t need to download any software or make sure your employees have it too. Everything is stored in the cloud, so everyone is on the same page. TSheets is strictly a time management app, though. It doesn’t have project management features, but you can set up a project in TSheets and manage the time spent on each aspect of the project.

TSheets works on computers, tablets, and mobile phones, making it easy for everyone to track their time worked from any device. You can even implement features like facial recognition to avoid ‘buddy punching’ where a co-worker punches someone in who isn’t working.

You can also integrate TSheets with other programs including QuickBooks, Xero, ADP, and Paychex.

TSheets has many features, but here are the most popular.

Time Tracking

This is the most obvious feature of TSheets, and the one people use the software for most often. You can track employees’ time worked from their phone, a computer, or even a central kiosk you set up if you have one fixed location that everyone works.

There is a manual time in/time out option if someone forgets to clock in and you can set up overtime alerts to know when an employee is nearing overtime.

Track Paid Time Off

If you offer your employees paid time off, you can use TSheets to track the time used and how much time they have left.

Project Tracking

Project tracking helps you plan your time accordingly by managing how long a project might take, and to keep track of each step to determine if you’re on target. You can also assign tasks to different employees and track their progress. 

The project tracking feature also helps you plan better for future projects if a current project takes much longer than projected.

Payroll

You can’t do payroll with TSheets, but you can see how much individual employees worked, who has over time and how often, and sort employees by pay rate. This feature can help you get a better idea of where you’re overspending on labor or where you may have more room to make adjustments.

Scheduling

You can schedule employees to shifts, like a normal schedule. You can also use TSheets to schedule employees to different tasks in a project. All included employees will receive notification of the schedule and employers can track time worked with the time management feature.

What are the Pros and Cons?

Pros:

  • User-friendly

TSheets is easy to use. You can quickly train new employees to use it or get all remote employees on board, so everyone is on the same page. 

  • Available on any device

Since TSheets is in the cloud, you can log in from anywhere, and everyone will have the same information in real time. This makes it much easier for remote employees to clock in and clock out, sharing their time worked with their employer.

  • Great customer service

Customer service is available 7 days a week, from 5 AM – 9 PM Monday – Friday and 8 AM – 5 PM on the weekends. Customer service is very responsive, helping with issues right away.

Cons:

  • Issues with the software

Many people have issues or ‘bugs’ with the program, leaving them without accurate time data, which is the whole point of the program.

  • Difficulty syncing with QuickBooks

Even though Intuit owns both TSheets and QuickBooks, many users have problems integrating TSheets and QuickBooks.

  • Doesn’t work with traditional time clocks

If you have an in-person business and remote employees, you may want the employees at your brick-and-mortar business to use a traditional time clock, but there’s no way to integrate the two so you’d have data in two places.

What’s the Cost?

It’s always important to know the cost of software before investing in it for your business. TSheets offers monthly and annual plans but use caution with the annual plan. Make sure you love the software before paying for a year because there aren’t any refunds if you don’t like it.

TSheets has two pricing plans:

Premium – $8/month per user plus $20 a month base fee

  • One admin
  • Track time worked
  • GPS
  • Manage PTO
  • OT alerts
  • Schedule shifts and project tasks
  • Time clock kiosk

Elite – $10/month per user plus $40-month base fee

This plan includes everything in the Premium plan plus the following:

  • Track projects and their progress
  • Geofencing
  • Compare projected estimates versus time spent on projects
  • Timesheet signatures

Final Thoughts

This Intuit product has plenty of room for improvement, but it does what it promises – tracks time worked. It’s a great product to help business owners keep track of employees, projects, and paid time off.

It’s not without its flaws, but most business software has pros and cons. Our suggestion is to sign up for the monthly plan to see what you think. If you like it, opt for the annual plan to save money but don’t do it until you know you like the service.
